Once your account is created, you'll be taken to the dashboard. Your next steps should be:
- Complete your Business Settings β add your logo, address, and contact details.
- Add your Categories so products are organised from the start.

- Invite your Team members if you have staff.
- Open the POS Terminal and make your first sale.

Dashboard
Your business at a glance β key metrics, recent activity, and quick actions all in one place.
What the dashboard shows
The dashboard is the first thing you see after signing in. It gives you an immediate overview of how your business is performing today and over recent periods.
- Today's sales β total revenue and number of transactions for the current day
- Recent transactions β the last few sales with amounts and cashier names
- Low stock alerts β products that are running low and need restocking
- Quick actions β shortcuts to open the POS, add a product, or view reports
Navigation
Use the sidebar on the left to navigate between sections. The sidebar shows different options depending on your role β cashiers see a simplified view, while admins and managers see the full menu.
Point of Sale
Process sales quickly and accurately with the Wisdsol POS terminal.
Opening the POS terminal
Click Point of Sale in the sidebar, or use the quick access button in the top bar. The terminal loads your full product catalogue ready for searching.
Adding items to a sale
- Type the product name or code in the search box β results appear instantly as you type.
- Click a product to add it to the current sale. It appears in the cart on the right.
- Adjust quantities using the + and β buttons next to each item, or type a quantity directly.
- Remove an item by clicking the β next to it.
Completing a sale
- Review the items and total in the cart panel.
- Click Checkout or Process Sale.
- Enter the amount tendered by the customer. The system calculates the change automatically.
- Click Complete Sale. The sale is recorded and stock is reduced.
- A receipt is generated. You can print it or save it as a PDF.
Discounts
You can apply a discount to individual items or to the whole order. Enter the discount amount or percentage in the discount field before checking out.
Cancelling a sale
To cancel a sale in progress, click Clear Cart or Cancel. This does not affect your stock or sales records. Only completed sales are recorded.
Products
Add, edit, and manage your full product catalogue with stock tracking and pricing.
Viewing your products
Go to Products in the sidebar. You'll see all your products listed with their current stock levels, prices, and categories. Use the search bar to filter by name or code.
Adding a product
- Click Add Product.
- Fill in the product name, code (optional), category, selling price, and cost price.
- Set the initial stock quantity and any low-stock alert threshold.
- If the product has an expiry date, enter it in the expiry field.
- Click Save.
Editing a product
Click the Edit button next to any product to update its name, price, category, or other details. Changes take effect immediately.
Stock adjustments
If you receive new stock or need to correct a quantity without making a sale, use the Stock Adjust feature. Click Adjust Stock on the product, enter the quantity change (positive to add, negative to remove), and save.
Low stock alerts
Set a minimum quantity for each product. When stock falls below this level, the product appears as a low-stock alert on the dashboard and in inventory reports.
Deleting a product
Use the Delete button on a product to remove it. Products with sales history cannot be fully deleted to preserve historical records β they are archived instead.
Categories
Organise your products into groups for easier management and clearer reporting.
Why categories matter
Categories let you group related products together β for example, Beverages, Snacks, Dairy, or Cleaning Products. This makes it faster to find items in the POS and allows you to filter reports by category to see which parts of your business are most profitable.
Adding a category
- Go to Categories in the sidebar.
- Click Add Category.
- Enter the category name and an optional description.
- Click Save.
Assigning products to categories
When adding or editing a product, select a category from the dropdown. Each product can belong to one category. If you need sub-categories, create descriptive names like "Beverages β Cold" and "Beverages β Hot".
Editing and deleting categories
You can rename a category at any time β all products assigned to it update automatically. Deleting a category unlinks its products (they become uncategorised) but does not delete the products themselves.
Sales History
View, search, and manage every transaction your business has processed.
Viewing sales
Go to Sales History in the sidebar. All completed transactions are listed chronologically, newest first. Each row shows the date, cashier, number of items, and total amount.
Searching and filtering
Use the search and filter options to find specific sales by date range, cashier, or amount. This is useful when a customer queries a transaction or you need to track a specific day's sales.
Viewing a receipt
Click the View Receipt icon on any sale to see the full receipt β including all items, quantities, unit prices, and the total. You can print or download the receipt as a PDF from this view.
Deleting a sale
Sales can be deleted by admins and managers if an error occurred. Deleting a sale reverses the stock deduction for those items. This action is logged and visible in audit reports.
Sales Report
A clear view of your revenue, transaction counts, and trends over any time period.
What the sales report shows
- Total revenue for the selected period
- Number of transactions and average transaction value
- Revenue broken down by day, week, or month
- Sales by cashier
- Top-selling products by revenue and by quantity
Selecting a date range
Use the date picker at the top of the report to select a custom date range, or choose from presets like Today, This Week, This Month, or Last 30 Days.
Exporting reports
Most reports can be printed or exported. Use your browser's print function (Ctrl+P / Cmd+P) to print or save as PDF. The report is formatted for printing automatically.
Profit & Loss
Understand your true profitability by comparing revenue against cost of goods sold.
How profit is calculated
Wisdsol POS calculates profit using the selling price and cost price you've set for each product. For each sale, it records: Revenue (selling price Γ quantity) and Cost (cost price Γ quantity). The difference is your Gross Profit.
Reading the P&L report
- Revenue β total sales value in the period
- Cost of Goods Sold (COGS) β total cost of products sold
- Gross Profit β Revenue minus COGS
- Gross Margin % β Gross Profit as a percentage of Revenue
- Best margin products β which products make you the most profit per sale
Comprehensive Reports
Deep analytics across sales patterns, cashier performance, product trends, and categories.
Available report modules
- Sales Summary β revenue trends across days, weeks, months
- Product Performance β which products sell most by revenue and volume
- Category Analysis β compare performance across your product categories
- Cashier Performance β sales totals and transaction counts per staff member
- Hourly Trends β when during the day are you busiest
Using the charts
Charts are interactive β hover over bars and lines to see exact values. Use the date range picker to focus on any period. Reports update in real time as you change the filters.
Inventory Valuation
Know exactly how much your current stock is worth at any given time.
What inventory valuation shows
The Inventory Valuation report calculates the total value of all stock currently in your store using each product's cost price and current stock level.
- Current stock quantity for each product
- Cost value (cost price Γ quantity)
- Retail value (selling price Γ quantity)
- Potential gross profit if all stock were sold
- Total portfolio value at the bottom
Why this is useful
Inventory valuation helps you understand how much capital is tied up in stock, identify slow-moving products that are holding value, and make better ordering decisions.
What-If Analysis
Simulate business decisions before committing β price changes, promotions, and more.
What is What-If Analysis?
What-If Analysis lets you model hypothetical scenarios based on your actual sales data. For example: "What if I increased the price of Milo by β΅5 β how would that affect my revenue?" or "What if I offered a 10% discount on slow-moving products?"
How to use it
- Go to What-If Analysis in the sidebar under Reports.
- Select the product or category you want to analyse.
- Adjust the price, discount, or quantity parameters.
- The system shows you the projected impact on revenue and profit based on historical sales volumes.
Results are clearly shown β both the current figures and the projected figures after your change, so you can compare them side by side.
Team Management
Add, edit, and manage staff accounts with role-based access control.
Viewing your team
Go to Team Management in the sidebar. You'll see all active staff members, their roles, email addresses, and account status.
Adding a team member
- Click Add User.
- Enter the staff member's username, full name, email, and phone number.

Editing a team member
Click Edit next to any member to update their name, email, phone, or role. You can also change their password from the edit screen.
Deactivating a member
If a staff member leaves or you need to temporarily suspend access, click Deactivate. Their account is locked immediately β they cannot log in while deactivated. You can reactivate them at any time.
Removing a member
Click Remove to permanently remove a member from your team. Their sales history is retained (so your reports remain accurate) but their login is disabled.

What you can import
- Products β name, code, price, cost, category, stock level, expiry
- Categories β name and description
- Users β username, name, email, role
How to import
- Go to Bulk Import in the sidebar.
- Select the data type you want to import (Products, Categories, or Users).
- Download the CSV template for that type. Open it in Excel or Google Sheets.
- Fill in your data following the column headers exactly. Do not change the column names.
- Save the file as CSV (not XLSX) and upload it on the import page.
- Review the preview, then click Confirm Import.
Common import tips
- Leave optional columns empty rather than deleting them
- Prices should be numbers only β no currency symbols (e.g., 12.50 not β΅12.50)
- Dates should be in YYYY-MM-DD format
- Category names must exactly match existing categories (or they'll be created)
Join Requests
Allow employees to request access to your business rather than you creating accounts manually.
How join requests work
Employees who know your business's join link can submit a request to be added to your team. As an admin, you review these requests and either approve or reject them. Approved requests automatically create a user account.
Submitting a request (employee perspective)
- The employee visits the request link shared by the admin.
- They fill in their name, desired username, email, and phone number.
- They submit the form. You receive a notification in the Join Requests inbox.
Reviewing requests (admin)
- Go to Join Requests or Account Requests in the sidebar.
- Review the list of pending requests.
- Click Approve to accept β an account is created with their details and a temporary password is set. Or click Reject to decline.
Tips & Best Practices
Get the most out of Wisdsol POS with these practical recommendations.
Daily habits
- Check the Dashboard each morning to see yesterday's performance and any low-stock alerts.
- Reconcile your physical cash with the POS total at end of day.
- Run the Sales Summary report daily so you notice anomalies early.
Product management
- Always set a cost price for every product β even if estimated. Accurate margins depend on it.
- Set low stock thresholds for every product so you're never caught out.
- Use categories from the start β retrofitting categories to hundreds of products later is tedious.
- Use product codes if you have a barcode scanner. It's the fastest checkout method.
Team management
- Give staff only the role they need β avoid making everyone an admin.
- Deactivate accounts immediately when a staff member leaves.
- Change passwords for any accounts you set up manually as soon as the employee logs in.
Reports
- Run the Inventory Valuation report at month-end to track capital tied up in stock.
- Use Category Analysis to identify your most and least profitable product lines.
- Use What-If Analysis before changing prices rather than making changes and hoping for the best.
FAQ & Troubleshooting
Answers to the most common questions and how to resolve frequent issues.
I can't log in β what do I do?
Check that your username and password are correct (passwords are case-sensitive). If you've forgotten your password, ask your business admin to reset it from the Team Management page. If you are the admin, contact Wisdsol support.
A product isn't appearing in the POS search
Make sure the product has been added under Products and that its stock level is greater than zero. Products with zero stock may be hidden from the POS terminal. Check the product status and stock level on the Products page.
Stock numbers look wrong
Stock is reduced automatically when a sale is completed. If the numbers look off, check the Sales History for any unexpected sales or deletions. You can manually correct stock levels using the Stock Adjust feature.
A sale was made by mistake β how do I reverse it?
Go to Sales History, find the transaction, and click Delete. This reverses the stock deduction and removes the sale from reports. Only do this for genuine errors.
My report shows 100% profit margin on some products
This happens when no cost price has been set for a product. Go to Products, edit the affected product, and enter the correct cost price. Past sales won't be retroactively updated, but future reports will be accurate.
A team member can't log in after I added them
Check that their account is active (not deactivated) on the Team Management page. Also confirm they're using the correct username, not their email β usernames are case-sensitive.
